Seller Document Checklist

Everything your agent and title company will need — organized in one place

One of the most overlooked causes of delayed closings in South Florida is sellers who arrive at the title company unprepared — unable to produce documents that have been sitting in a drawer for years. Start gathering these documents the moment you decide to sell. The more organized you are from day one, the smoother your transaction will be.

Ownership Documents

  • Current deed (your name should match exactly how you'll sign)
  • Survey of the property (if available — not always required)
  • Prior title insurance policy from when you purchased
  • Prior closing statement (HUD-1 or ALTA Settlement Statement)
  • Any recorded easements, encroachments, or boundary agreements

HOA and Condo Documents

  • HOA management company name, address, and contact
  • Current monthly or quarterly dues amount
  • Rules and regulations package (buyer's lender may require)
  • Architectural approval letters for any modifications you've made
  • Pending assessment notices — any amounts due or voted
  • Condo declaration, bylaws, and meeting minutes (condos)
  • Right of first refusal documentation (condos)
  • Condo association approval process and timeline

Property and Renovation Documents

  • All permits from local building department (open and closed)
  • Renovation contracts with completion dates and contractor details
  • Certificate of Occupancy for any additions
  • Appliance manuals and warranties
  • Roof installation records and manufacturer warranty
  • Impact window and door permits and certifications
  • Pool construction permit and history
  • Any engineering reports or structural evaluations

Insurance Documents

  • Current homeowners insurance declaration page
  • Wind mitigation inspection report (if available — typically 5 yrs valid)
  • Four-point inspection report (if available)
  • Flood elevation certificate (if obtained)
  • Any prior insurance claims documentation
  • Roof certification from a licensed roofing contractor

Utility and Maintenance Records

  • 12-month average electric bill (FPL, TECO, etc.)
  • 12-month average water and sewer bill
  • Internet service providers available at the property
  • Pest control service company, frequency, and monthly cost
  • Pool service company, frequency, and monthly cost (if applicable)
  • HVAC maintenance records and last service date
  • Lawn/landscaping service company and monthly cost (if applicable)
